Microsoft 365

Your team collaborates remotely, shares documents without duplicate versions and serves customers from any device. We deploy Microsoft 365 — licences, migration, security and training — so the transition does not disrupt your operations.

ScopeSMEs from 5 to 250 users
Typical duration4–8 weeks
ModeImplementation + ongoing support

Microsoft 365 is not just cloud email. In the Business Standard or Premium edition — the most common among SMEs with 10 to 250 employees — it integrates Exchange Online, Teams, SharePoint, OneDrive, Microsoft Defender and, since December 2025, Copilot Business with native generative AI built into Word, Excel, Outlook and Teams. The problem is not the platform; it is that most SMEs activate their licences and carry on working exactly as before: emails with file attachments, shared folders on a physical server and unstructured meetings. Professional implementation is what separates paying for a tool that goes unused from truly transforming the way your team works.

The type of company that benefits most is the service or distribution SME with between 10 and 150 employees, multiple locations or a partially remote team, that works with document-intensive processes — quotes, contracts, delivery notes, projects — and needs every person to access the correct version of a file from anywhere. Also companies moving towards regulatory compliance — GDPR, ENS, NIS2 — that need to consolidate corporate email, apply retention policies and encrypt sensitive communications without building their own infrastructure. In Castilla y León and the Canary Islands we have been supporting these companies through their migrations for over a decade, and we know that the real bottleneck is not technical: it is managing the change in people's working habits.

Summum Sistemas is the technology arm of Grupo Summum, which means that a Microsoft 365 implementation does not get stuck in an isolated support ticket. If your company also needs to automate workflows with Power Automate, integrate email with your ERP or activate Copilot on Dynamics 365 Business Central data, we coordinate everything from the same consultancy. And if legal obligations around data protection or NIS2 compliance affect the tenant configuration, our consultancy and quality teams step in seamlessly. Since 2007 and with five offices across Castilla y León and Las Palmas, we are large enough to deliver without improvising and small enough to serve you without bureaucracy.

The Microsoft 365 process.

The process · four stages
01

Diagnosis and tenant design

We audit the current situation: existing mailboxes, file servers, number of users, security and compliance requirements. We design the tenant architecture — domains, groups, conditional access policies, DLP — before touching anything in production.

02

Zero-downtime migration

We carry out the migration of email, contacts and calendars during agreed time windows to minimise impact. Files from the local server are transferred to SharePoint and OneDrive with a reviewed folder structure and mapped permissions. The team keeps working throughout the process.

03

Teams and SharePoint configuration

We design the structure of teams, channels and SharePoint sites based on how your business actually works: by project, by department or by client. We configure meetings, recordings, intranets and internal communication portals. We do not hand over a blank installation.

04

Training and adoption support

We deliver role-based practical training — end users, team leaders and administrators — and leave operational documentation tailored to your company. During the first month of live use we support adoption so that habits genuinely change and the investment pays off.

What is included

What Microsoft 365 includes.

The operational detail: what we deliver as part of the work and what we keep alive afterwards.

  • Licences and subscription management

We select the right plan (Business Basic, Standard, Premium or E3) for each user profile and manage the purchase or transfer of licences. We avoid paying for what is not used.

  • Email and calendar migration

We move mailboxes from any source — Gmail, local Outlook, on-premises Exchange, other providers — to Exchange Online with no data loss and no disruption for users.

  • SharePoint and document management

We organise the document library, define metadata, versioning and permissions, and configure basic approval workflows. The chaos of duplicate versions in shared folders disappears.

  • Security and compliance

We configure multi-factor authentication (MFA), conditional access, endpoint protection with Defender for Business (included in Premium), retention policies and sensitive data labelling for GDPR compliance.

  • Microsoft Teams for teams and meetings

We deploy Teams as the communication hub: channels by project or department, calendar integration, recorded meetings, corporate chat and replacement of desk phones with Teams Phone where applicable.

  • Administration and ongoing support

We handle tenant administration: user onboarding and offboarding, incident resolution, policy updates and periodic security reviews. Your internal IT team — if you have one — is freed from the Microsoft layer.

Frequently asked questions about Microsoft 365.

How long does it take to migrate to Microsoft 365 without disrupting the team?

For an SME with 10 to 50 users, email and file migration typically completes in 2 to 4 weeks, working during overnight or weekend windows. For companies with 50 to 200 users, on-premises servers and multiple sites, the usual timeframe is 6 to 10 weeks. The team notices no interruptions: it works in the old environment while we migrate in parallel and perform the final cutover at an agreed moment.

Which Microsoft 365 plan does my company need: Basic, Standard or Premium?

Business Basic covers email, Teams and cloud storage, without desktop applications. Business Standard adds locally installed Word, Excel, PowerPoint and Access. Business Premium also includes advanced security with Defender for Business, device management with Intune and information protection — the recommended plan for companies with sensitive data or that must comply with GDPR, ENS or security audits. We help you size the licence mix by user profile so you do not overpay.

Can I integrate Microsoft 365 with my current ERP or CRM?

Yes. Microsoft 365 integrates natively with Dynamics 365 and with most market ERP systems via connectors or APIs. For more complex integrations — data synchronisation between Teams and the ERP, automatic CRM alerts in Outlook, or approval workflows linked to purchase orders — we use Power Automate or develop custom connectors. When the ERP is Dynamics 365, the integration with Teams and Copilot is especially seamless.

What does Microsoft 365 Copilot Business offer and when did it become available for SMEs?

Microsoft 365 Copilot Business is the AI assistant built directly into Word, Excel, PowerPoint, Outlook and Teams. Available globally since December 2025 for organisations of 1 to 300 users, it lets you generate document drafts, summarise long email threads, create presentations from a text brief or analyse spreadsheet data using natural language. The most profitable use cases for SMEs are: automatic summarisation of Teams meetings, drafting client replies in Outlook and data analysis in Excel without complex formulas.

What happens to files stored on our local server or shared network folders?

Files from the local file server are migrated to SharePoint Online and OneDrive according to a structure we agree in advance. Before migrating, we review which files are still needed, which can be archived and how to organise access permissions. The physical server can be decommissioned once the migration is verified, reducing maintenance costs and eliminating the risk of local data loss.
